About

To reduce the total amount of kilometers to be driven and the amount of vehicles rented by the organization, Team:Logistics provides off-site transport to and from the event for other orga teams. We have vehicles with a lifting platform, so pallets can be transported.

In case this wiki survives until the next event in 4 years, here are some thoughts on what went well and what could be better next time around.

Demand was a bit less (or more spaced out?) than at OHM, which made our job easier and less chaotic. In total, there were 15 trips inbound before the event and 8 outbound after the event. During buildup, trips were spaced such that we were very flexible regarding the time and spontaneous extra trips. For teardown, 5 of the "difficult" trips (dependencies on someone else unlocking the door, arrival time constraints...) happened the first day, making the other two days very relaxed.

It was difficult to find volunteers for early buildup in advance, even though there were people there in the end who gladly helped out. I think just asking around on the field for help when it was needed and doing most driving myself during early buildup (starting day -7) was a strategy that worked fairly well. One negative aspect was that I was almost unreachable via email during early buildup, leaving some teams that had requested transport worrying if their stuff would actually be transported. I personally think that having a copilot while driving is not that important. Having a helper for loading is often invaluable though.

The Sprinter that POC rented (that only I and POC was allowed to drive because one had to be a member of stadtmobil) proved very useful in several situations. For one spontaneous smaller pickup (UPS for radios) and several runs to the supermarket with the volunteer kitchen crew, having a smaller car was useful. When luggage shuttles were in high demand during teardown, we were able to repurpose the Sprinter to be an additional shuttle.

Volunteer drivers and copilots needed

Want to go on a roadtrip through the Netherlands before or after the event and help make it happen without missing any of the main action? Are you an experienced, reasonable and defensive driver that can safely drive a loaded truck? Or a motivated copilot to handle navigation and communication while on the road? Or a team of both? We'd love to have you!

If you want to help out please contact User:LeonH or anybody else from Team:Logistics. We need your help before and after the event. You don't have to be there during the whole buildup or teardown, you can do just one but also multiple tours, depending on when you have time.

Requesting transport

  • If your payload is small enough to be transported in a private car that is driving anyway and has space, prefer this option.
  • Driving around in a truck is expensive. If you need something transported from far away (e.g. outside the Netherlands), a private courier is more economical.
  • Every pickup location costs additional time and our volunteers' time is precious. Try batching your payload with other teams if possible (e.g. at a Hackerspace). If your item is not too big and <30kg, consider just mailing it at a nearby post office.
  • We operate efficiently by batching requests. Please be as flexible as possible with regards to pickup and drop-off dates and times.
  • To make pickup and return efficient, please have a person waiting for our drivers. We will call them some time before to make sure they didn't forget about us. Alternatively, have detailed pickup instructions and give us keys before the event.

  • Figure out how we'll do delivery at the event. Do we have to make sure things don't go missing and are checked out by the right person? Label them with a barcode? For some things: Deliver directly to a specific location on-site?
  • Build a quick and dirty fleet tracking system with old Android phones to reduce required phone calls?
  • Figure out what equipment we need to secure loads and make sure we have it. Show drivers how to use it.
