Welcome!

You can watch a fun slide show with subtitles to get an impression of what Team Logistics will be doing at SHA.

The mission of Team Logistics is to facilitate the event by moving stuff around, and by providing tools (screw driver, hammer, etc) and consumables (duct tape, tie wraps, etc) to other teams, so the other teams can keep working as efficiently as possible. Additionally, we organize shuttle services for visitors (to public transport or remote parking) if needed, safely store incoming delivered packages for teams and make sure waste can be removed continuously from the terrain.

Note: the services of this team are targeted at other teams that organize the event, and are in principle not available for Villages and Hackerspaces, which should fully organize their own activities and get their stuff to and from the event/terrain themselves!

Team Structure

Because Logistics is handling quite some different things, the team is structured into sub-teams. Currently, six sub-teams are planned, which are:

Each sub-team has a primary sub-team-lead and one or more secondary ones, which can serve as replacement (e.g. during the event for 24/7 things) and/or as a kind of mentor-role. For example, if you want to get expertise at organising waste management for an event of >5000 people for the first time, you can just start doing that, using the help of people with prior experience.

And, it should be fun. You're spending a lot of your free time on this event. It's not work! You won't get paid for it. :-)

Oh, and to be clear, Team Logistics does not make sure the following things happen:

  • Moving visitors and their stuff on the terrain (hint: buy a foldable bolderkar)
  • Moving VIPs/speakers (speaker assistance)
  • Traffic plan for visitors/suppliers (buildup, takedown)
  • Road structure on the field, signs (maps, decoration)
  • There's discussion about moving parts of Traffic and parking into Logistics, no decisions made yet.

Cooperation with other Teams

Since the role of Logistics is to be facilitating towards other teams, we'll be working together closely with a number of them.

Who has dependency on Logistics?

  • Logistics will be helping the Buildup, Takedown and Bar teams by e.g moving heavy and big stuff around and loading / unloading for them on the field.
  • Team Villages can be helped by distributing rented materials like beer benches and tables on the field.
  • And of course, InfoHelpDesk needs to know everything that is relevant to visitors of the event: shuttle time tables, garbage bags and trash info

What are our dependencies?

  • Team Maps, which decides on the layout of the terrain and which can help us doing our job better by knowing what Logistics needs are (LHQ, area for huge vehicles and storage etc...).
  • We need Team Infrastructure for power to charge electric vehicles and to operate a waste compactor (until late-takedown!)
  • We need input from all teams before the event to assemble a great shopping list for shared tools / consumables.
  • We really need Team Volunteers to help us get the right people to participate during the event
  • We really need Team Design and Communication to help communicate things to visitors, like how to handle waste.
  • We need Team Villages to keep an eye on what villages are bringing and doing and how to handle removal and waste during takedown.

How to join Logistics?

If you like to help:

  • Choose Team Logistics on your own user page (edit with form) so you show up in the list below.
  • Join the mailing list and introduce yourself ("Hi! I'm Foo, I'd like to help out with Logistics, I'm very good at Bar and have the same drivers licenses as Quux has.") ;-)
  • Show up at the next team meeting.
  • If you like, join on IRC (see below)

Think about how you want to participate. It's up to you to decide in whatever way you want to help. It's all about volunteering, but it's also about commitment. Be clear about what you can/want do, and if you take responsibility for a smaller or bigger part of organizing, be commited to it. Also, don't be afraid to join! The current team already has enough people in it with prior Logistics experience that you can fall back on and work together with. :-)

Communication

Within the team:

  • The logistics mailing list is an important channel for communication. The mailing list is the place where we report on progress, document decisions that are made (it has an archive!) and announce meetings and other upcoming stuff.
  • IRC #sha2017-logistics @ Freenode. IRC can be used for discussing ideas when not meeting IRL, preventing too much chatter on the mailing list. (You likely might want to join #sha2017 also)
  • IRL Team meetings, which will be held regularly.

To/from other teams:

  • People from other teams are free to join our mailing list and read along. They might do or don't do this, or start / stop doing it based on the amount and type of messages on the list.
  • Same holds the other way... You might want to either join a list of another team that you are working with closely, or just subscribe and set yourself to nomail and then be able to browse the archives of that list to get info. Also join the main orga list at <insert here>.
  • Mailinglist messages to a central orga list, reporting on progress regularly (sending summary of what's happening, so that members of other teams do not have to join our list and sift through all messages to find out).
  • IRL during SHA meetings
  • Informal contacts, anything else.


2016/05/01 - Terrain is known, we learn more about terrain, parking, and give our input for the map.

2017/02/01 - Contacts with suppliers, place reservations for rental. Spam other teams for shopping lists.

2017/07/31 - Buildup! Get everything on the terrain asap!
