Operation Plan

Introduction
Team Goals
As a subteam under the Logistics team, team Warehouse will provide a small scale on-site storage facility, pre-stocked with items that we expect to come in handy. We support other teams by providing them with goods, that their volunteers can pick up at our warehouse. If capacity allows, we can also deliver these items to volunteers in the field, to minimize the interruption. We will also coordinate shopping runs for items that are not yet available, but dearly needed.

A part of the warehouse will be made available for teams with storage requirements that cannot be met by tents. Specifically for the rest of team Logistics, we will provide a Headquarters (LHQ), from which the subteams can coordinate their activities.

Brief History
At WTH2005, no preparations were done for a warehouse. During build-up, a makeshift warehouse was erected at the attic of a building that happened to be available. Pre-event shopping was limited to a box of office supplies; essential equipment like tie-wraps and duct tape were missing. During build-up, the warehouse was completely self-service without any supervision, and it was hard to keep it stocked as we had already bought all the duct tape in a 25 km radius. Still though, it proved to be a valuable addition to the way the event was built up and centralized shopping made sharing of goods easier.

At HAR2009, the warehouse, now part of team Logistics and named Logistics HeadQuarters (LHQ), was prepared in a somewhat more organized fashion. However, as a result of opposing views between Logistics and the core organization, the warehouse had no housing that was available from early build-up until late tear-down, and was moved a total of four times. Some of the LHQs were tents, causing boxes to get damp and collapse, and metal parts to rust. Despite the energy wasted with moving, and things getting lost and broken in the process, we now had a warehouse with some supervision, resulting in a much better service towards the other teams.

With OHM2013, LHQ had evolved to a temporary building comprised of modular container units. It had shelving and a place to sit down and organize the rest of Logistics operations. The more climate proof boxes could be locked, and as such became a somewhat more secure storage facility. There was enough space to adapt to changing circumstances, and its central positioning relative to the rest of the orga field made it well-known to all active volunteers. A simple tracking system was set up using a spreadsheet.

For SHA2017, we intend to repeat the success of Logistics at OHM2013. We hope to improve upon it, by inviting shift angels to assist us. This should allow the LHQ staff to have some time to enjoy the event more, and hopefully even allow for sufficient capacity to implement delivery to the hard working teams on the rest of the terrain.

Responsibilities
The subteam has dedicated volunteers, and shift angels. The dedicated volunteers who are part of the larger Orga and have been preparing the subteam for months in advance of the event, are the Team Leads. Other dedicated volunteers have pledged to work at LHQ on site from build-up to teardown, or a part of that time frame.

LHQ is staffed by its dedicated volunteers, assisted by shift angels who do 2-hour shifts and are not generally available outside the scope of those shifts.

Procedures
Lending items
Special case: manitous, field forklifts (keys)
The answer is a friendly 'no'.

Only our own team members in the On-Site subteam will drive these.

Special case: other motor vehicle (keys)
For insurance reasons, only registered and approved drivers may use motorized vehicles. This DOES apply to on-site off-road vehicles like golf carts!

Registered drivers are given a wristband for easy identification.

Drivers must be sober. The off-site vehicles (shuttles, trucks) are not allowed on the field.

* Expected usage under 20 minutes: check if the vehicle's time table is clear for at least 20 + 10 = 30 minutes.
* Expected usage over 20 minutes: request approval from the TeamLead. Note that Shuttles, On-site vehicles and Off-site vehicles, each have their own subteam.

Proceed with the 'general case' procedure.

Special case: radios, batteries
Radio batteries can be exchanged, but not handed out individually.

Most radios are reserved for specific teams. Check with the schedule provided by subteam ROC (Radio Operation Center) to see if they can get a radio.

Scan the radio barcode before inserting the battery.

Proceed with the 'general case' procedure.

Special case: items not in inventory
When an item is requested that we don't have, we might still be able to help out.

Ask what the item is needed for; maybe we have something else that can be used instead. For example, gaffer tape with permanent marker could be an alternative for a label printer; rope could be an alternative for tiewraps, or vice versa. Be creative.

If the item is necessary, but not available, ask if it should be bought. In case it needs buying, write down as much information as you can get about the volunteer, the product, and what it's needed for. We need a way to inform them when we have it. It may take a day for us to buy it. If it's urgent, contact a team lead by radio.

Don't make any promises. Buying things costs money and budgets are limited.

General case
Only lend out to registered organizers and volunteers. They will have a volunteer badge with a barcode, or an LHQ pass with a barcode. If they don't have this, refer them to the Volunteer tent for registration.

Specifically, we do NOT lend out items directly to villages and visitors! They can try and ask an angel to accompany them with the item, who will then also take care of returning the item.

Scan the item(s) first, then scan the lender's barcode.

Always ask the volunteer to return the items after use. If it's a consumable item, like a bag of tie-wraps, or a roll of duct-tape, we'd still like to know if it's used up, and for that we still need the barcode!

Orders by phone or radio
Typically, the same procedure as for lending items via our front desk. If a mobile scanner is available, you can scan the volunteer's barcode at the delivery location. However, if a mobile scanner is not available: ask their name and scan at LHQ before leaving.

The option to perform deliveries may not be available all the time. It depends on the availability of a runner volunteer, as the desk volunteer can't easily leave.

Accepting returned items
Thank the volunteer for returning the stuff. Detach batteries and charge them. Scan the barcode and scan or type the "info" command to look up the previous location in the warehouse. Store it at the same location where it was before: scan the product first, then the @ label of the storage location (usually a shelf). Charge the batteries.

Validating driving license
Drivers need to be authorized by LHQ before they are allowed to take a vehicle. Authorized drivers get a PURPLE wristband so that they don't have to repeat the process.

# Ask the driving angel to bring their license.
# Verify the license
#* photo matches face. Not sure? Escalate to team lead!
#* driver is at least 18 years old (birth date is before 1999-07-28).
#* license not expired during SHA (expiry date is after 2017-08-10).
#* license must be in latin script (no cyrillic, greek, chinese, etc)
# Scan the angel badge
# Scan or type the command "edit-metadata". At the "groups>" prompt, add "driver". (Separate groups with spaces.)
# Give the driver a PURPLE wristband and assist them with putting it on.

The wristband has to be worn visibly.

Storage of equipment
Some shelves and some floor space are allocated for other teams. Things from those locations must not be taken by others.

Emergencies
In case of real emergencies, drop the bureaucracy. Our rules don't matter if someone's life is at stake.

However, as long as it's safe to do so, remain at the warehouse.

Other (idle time)
Idle time can be used to charge batteries, sweep the floor, tidy the shelves, play minesweeper, watch presentations via streams, etc.

Check the golf carts and bicycles for defects and soft tyres.

If you like, you can use our resources to help teams and villages along, for example by looking up device specifications, calling suppliers, printing and laminating signs, etc. Maybe Infodesk has some desk jobs that they'd like to hand over. However, don't make any promises; you still have to be stand-by for our primary duties.
Badge Sweatshop
Parts are almost in, we need to assemble badge kits for all our visitors. We are assembling around 4k kits, maybe more, maybe less. To do so, we are organizing a sweatshop for our wonderful volunteers.

Planning
We are planning the sweatshop for the 15th and 16th of July, with the 15th as our main date and we hope not to need the 16th.

We start at 12.00, doors will be open from 11.00. If you're a late arrival we can still use you as a relief for a tired hacker. Please sign up!

We estimate assembling a badge will take approximately 2 minutes (might get faster). With a group of 20 people that comes down to around 8 hours of labour. Yeah, we need your help.

The Sweatshop list
We need your help, please sign up on the list below. We will provide dinner, please let us know in the table below if you have special dietary requirements.
Ergonomy
A test run was done on 8 July, to ergonomically optimize the workflow.

Findings:
* Table height is too low. A 45 liter samla turned upside down provides the right amount of elevation, shorter and taller people can still use it.
* The narrow gutter between the samlas and the side of the table, can be used for buffers
* Even the smallest samla box is too big for the LEDs and the motor; small 1-person lasagne dishes work well
* The smallest samla is perfect for keeping filled bags upright
* We have determined which scoop is the best for gathering components and bought a few of those
* Two people per gathering station works best:
** Left operator does the larger items:
*** Grab ziplock bag with left hand
*** Grab spam and flyer with right hand, put into bag held in left hand
*** Grab lanyard with right hand, use both hands to compress, put into bag
*** Leave bag on the table (buffer)
** Right operator does the smaller items:
*** Hold scoop in right hand
*** Pick up from right to left, using left hand: hook piece, loop piece, LEDs, motor, battery
*** Put right thumb on battery to keep everything in the scoop
*** Grab bag from the table (prepared by left operator) with left hand
*** While dropping contents from scoop with the right hand, put bag upright into small samla
*** Don't close the bag!
** Reverse right and left on the opposite side of the table in case both are left-handed
* You need a dedicated runner to take care of:
** Replenishing stock
** Pre-opening ziplock bags if time permits (this makes the "left operator"'s job much easier!)
** Moving finished bags from small samlas to cardboard boxes

Stations Kitday
6? stations in parallel, each having two workspaces:
- Bag, Flyer, small flyer, Lanyard (left position, working from left to right. Open bag, grab flyer 1 and 2, put them in bag, grab lanyard, bundle, put in bag, handover to position 2
- Use scoop to gather: Velcro Loop, Velcro Hoop, LEDs, Motor, Battery. (right postion, working from right to left). Drop in bag.

Two people working to remove filled kits from the stations and adding supplies.

Each kit takes 24 seconds to complete, so if we calculate 30 seconds per kit per person, at 4000 kits we need 120.000 manseconds = 33 manhours of labour. Assuming 12 people working and two tending supplies and moving stuff the job will be done in approximately 3 hours.
* Sign up at https://revspace.nl/Hoera7jaar asap.
* After the SHA meeting, go down to the basement and pay for the BBQ.
* After the BBQ, stay to help doing the dishes, etc... :-)
If you're not on the BBQ list:
* Please leave the building after the SHA meeting, before 17:30.
Field Day, Party and optional sleep over: 13th and 14th of August 2016

This is the invite for the next big, fat, awesome, future defining, gravity defying SHA2017 orga meeting. You are invited to participate in the field day, party and sleep over at the 13th and 14th of August ON the terrain [1].

This meeting will be a turning point for SHA2017: it is scheduled to be the GO / NO GO moment for the entire thing. We therefore expect everyone, including all the many people you've asked to join the orga meanwhile, or that are considering to join, to be on the site, on this day. Preferably list your attendance on the wiki [2].

A schedule of this day will be shared lateron, but keep a free agenda from 12:00 to 21:00 on Saturday the 13th of August. The sleepover is optional, requires your own camping gear and will end somewhere on Sunday the 14th of August depending on the weather.

In the evening of Saturday a BBQ is planned, the costs will be around 10 to 15 euro pp cash. The IFCAT foundation pays all of the taxes for staying on the terrain. Scoutinglandgoed is providing all terrain services free of charge.

Things to arrange:

In the spirit of SHA2017 this is entirely a "do-it yourself" event, and we expect the teams to do exactly what they will be doing during SHA2017. There are some big requirements, which are coordinated by teams, and connect to the projectleiding via the following people:

Large meeting tent and chairs: rolfvandekrol + people wanting to arrange infrastructure
Sleepovers and pickups from foreigners and Limburgers: damnlie + a $team
Kitchen, Drinks, Foods: mc.fly, together with bar + food teams

Glass fiber internets, water, power and toilets are available on the site. Any questions about the facilities on the terrain can be directed towards Stitch.

You all know what to do to make this a spectacular weekend.

One last request:

Bring ALL, ALLLLLLLL, of the mapping gear, photo camera's, video drones, GIS tools, GPS devices, landmeters, measuring devices and start mapping and documenting the crap out of this terrain. When in doubt, bring it, use it and share the results.

Be sure to get the word out.
About
Welcome!
You can watch a fun slide show with subtitles to get an impression of what Team Logistics will be doing at SHA.

The mission of Team Logistics is to facilitate the event by moving stuff around, and by providing tools (screw driver, hammer, etc) and consumables (duct tape, tie wraps, etc) to other teams, so the other teams can keep working as efficiently as possible. Additionally, we organize shuttle services for visitors (to public transport or remote parking) if needed, safely store incoming delivered packages for teams and make sure waste can be removed continuously from the terrain.

Note: the services of this team are targeted at other teams that organize the event, and are in principle not available for Villages and Hackerspaces, which should fully organize their own activities and get their stuff to and from the event/terrain themselves!

Also, take a look at some history during HAR and OHM to get a better idea of what the team will be doing:
* Logistics HAR2009
* Logistics OHM2013

Team Structure
Because Logistics is handling quite some different things, the team is structured into sub-teams. Currently, six sub-teams are planned, which are:
; Shopping: Efficient shopping for stuff that everyone needs (WinSCaP)
; Warehouse: A warehouse that stores everything and is the go-to place for other teams to borrow stuff (Juerd)
; Off-site: Off-site pick up and delivery (Kartoffel)
; On-site: On-site logistics (Manduca)
; Waste: Waste management (You? Needs sub-teamlead!)
; Shuttle: Shuttle service (Hobbybob)

Each sub-team has a primary sub-team-lead and one or more secondary ones, which can serve as replacement (e.g. during the event for 24/7 things) and/or as a kind of mentor-role. For example, if you want to get expertise at organising waste management for an event of >5000 people for the first time, you can just start doing that, using the help of people with prior experience.

And, it should be fun. You're spending a lot of your free time on this event. It's not work! You won't get paid for it. :-)

Oh, and to be clear, Team Logistics does not make sure the following things happen:
* Moving visitors and their stuff on the terrain (hint: buy a foldable bolderkar)
* Moving VIPs/speakers (speaker assistance)
* Traffic plan for visitors/suppliers (buildup, takedown)
* Road structure on the field, signs (maps, decoration)
* There's discussion about moving parts of Traffic and parking into Logistics, no decisions made yet.

Cooperation with other Teams
Since the role of Logistics is to be facilitating towards other teams, we'll be working together closely with a number of them.

Who has dependency on Logistics?
* Logistics will be helping the Buildup, Takedown and Bar teams by e.g moving heavy and big stuff around and loading / unloading for them on the field.
* Team Villages can be helped by distributing rented materials like beer benches and tables on the field.
* And of course, InfoHelpDesk needs to know everything that is relevant to visitors of the event: shuttle time tables, garbage bags and trash info

What are our dependencies?
* Team Maps, which decides on the layout of the terrain and which can help us doing our job better by knowing what Logistics needs are (LHQ, area for huge vehicles and storage etc...).
* We need Team Infrastructure for power to charge electric vehicles and to operate a waste compactor (until late-takedown!)
* We need input from all teams before the event to assemble a great shopping list for shared tools / consumables.
* We really need Team Volunteers to help us get the right people to participate during the event
* We really need Team Design and Communication to help communicate things to visitors, like how to handle waste.
* We need Team Villages to keep an eye on what villages are bringing and doing and how to handle removal and waste during takedown.

How to join Logistics?
If you like to help:

* Choose Team Logistics on your own user page (edit with form) so you show up in the list below.
* Join the mailing list and introduce yourself ("Hi! I'm Foo, I'd like to help out with Logistics, I'm very good at Bar and have the same drivers licenses as Quux has.") ;-)
* Show up at the next team meeting.
* If you like, join on IRC (see below)

Think about how you want to participate. It's up to you to decide in whatever way you want to help. It's all about volunteering, but it's also about commitment. Be clear about what you can/want do, and if you take responsibility for a smaller or bigger part of organizing, be commited to it. Also, don't be afraid to join! The current team already has enough people in it with prior Logistics experience that you can fall back on and work together with. :-)
Communication
Within the team:
* The logistics mailing list is an important channel for communication. The mailing list is the place where we report on progress, document decisions that are made (it has an archive!) and announce meetings and other upcoming stuff.
* IRC #sha2017-logistics @ Freenode. IRC can be used for discussing ideas when not meeting IRL, preventing too much chatter on the mailing list. (You likely might want to join #sha2017 also)
* IRL Team meetings, which will be held regularly.

To/from other teams:
* People from other teams are free to join our mailing list and read along. They might do or don't do this, or start / stop doing it based on the amount and type of messages on the list.
* Same holds the other way... You might want to either join a list of another team that you are working with closely, or just subscribe and set yourself to nomail and then be able to browse the archives of that list to get info. Also join the main orga list at <insert here>.
* Mailinglist messages to a central orga list, reporting on progress regularly (sending summary of what's happening, so that members of other teams do not have to join our list and sift through all messages to find out).
* IRL during SHA meetings
* Informal contacts, anything else.
About
Logistics

* Logistics HAR2009
* Logistics OHM2013

Team Structure
Because Logistics is handling quite some different things, the team is structured into sub-teams. Currently, six sub-teams are planned, which are:
; Shopping: Efficient shopping for stuff that everyone needs (WinSCaP)
; Warehouse: A warehouse that stores everything and is the go-to place for other teams to borrow stuff (Juerd)
; Off-site: Off-site pick up and delivery (You? Needs sub-teamlead!)
; On-site: On-site logistics (Manduca)
; Waste: Waste management (You?

* Moving VIPs/speakers (speaker assistance)

Logistics

* Logistics HAR2009
* Logistics OHM2013

Team Structure
Because Logistics is handling quite some different things, the team is structured into sub-teams. Currently, six sub-teams are planned, which are:
; Shopping: Efficient shopping for stuff that everyone needs
; Warehouse: A warehouse that stores everything and is the go-to place for other teams to borrow stuff
; Off-site: Off-site pick up and delivery (needs sub-teamlead!)
; On-site: On-site logistics
; Waste: Waste management (needs sub-teamlead!)
; Shuttle: Shuttle service

* Managing parking (team traffic?)
* Moving VIPs/speakers (speakerdesk?)
* Traffic plan for visitors/suppliers (team terrain?) (Detours / Direction signs / Unidirectional streets / Access passes for locals?)

Cooperation with other Teams
Since the role of Logistics is to be facilitating towards other teams, we'll be working together closely with a number of them. One of the best examples of this is Team Terrain, which decides on the layout of the terrain and which can help us doing our job better by knowing what Logistics needs are (LHQ, area for huge vehicles and storage etc...). Also, the other way around, Logistics will be helping team Terrain by e.g moving heavy and big stuff around for them.

But there's much more. We really need Team Volunteers to help us get the right people to participate during the event, and we really need Team Design and Communication to help communicate things to visitors, like how to handle waste. And of course, InfoHelpDesk needs to know everything that is relevant to visitors of the event.

During the upcoming one and a half year up 'till SHA, this will all be happening. :-)

How to join Logistics?
If you like to help:

* Set Team=Logistics in your UserInfo so you show up in the list below.

TeamMemberList

* IRL during SHA meetings
* Informal contacts, anything else.
Juerdhttps://orga.sha2017.org/index.php?title=User:Juerd&diff=299User:Juerd2015-10-25T16:11:48Z
Juerd: Created page with ""
